Precision Auto Group operates three auto repair and service locations in Framingham, Ashland, and Hopkinton, MA. With 25 employees including service advisors, ASE-certified technicians, and front-office staff, the business handles hundreds of vehicles per month across all three shops. Their operations depend heavily on shop management software for work orders, parts ordering, customer communication, and payment processing.

The Challenge

When Precision Auto Group contacted Pro Tech Guy, their IT situation was creating daily operational problems. The shop management software -- the backbone of their entire business -- was crashing multiple times per week, sometimes corrupting work orders and forcing technicians to recreate them manually. The root cause was an overloaded, improperly configured server that had been set up years earlier by a now-defunct IT provider.

Compounding the problem, there was no backup system in place. Years of customer records, vehicle service histories, and financial data existed on a single server with no redundancy. A hardware failure or ransomware attack could have wiped out everything with no path to recovery.

Finally, a review of their payment setup revealed a serious security gap. Card reader terminals were connected to the same flat network as all other devices, card data could traverse unencrypted network segments, and there were no access controls restricting who could interact with payment systems.

Our Solution

Pro Tech Guy developed a three-phase stabilization plan designed to address immediate reliability issues while building toward a secure, reliable infrastructure.

Phase 1 -- System Stabilization: We performed a full audit of the existing server infrastructure and identified critical issues including insufficient RAM, fragmented storage, and misconfigured database settings. Rather than a costly full replacement, we upgraded the existing server hardware, optimized the database configuration, and implemented proper resource allocation. Application performance improved immediately, and crashes stopped entirely.

Phase 2 -- Backup and Disaster Recovery: We deployed an automated cloud backup solution that captures full system images and database snapshots every four hours. Backups are replicated to a geographically separate data center for redundancy. We established a tested disaster recovery plan with a 4-hour recovery time objective (RTO), meaning that even in a worst-case scenario, Precision Auto could be back online within half a business day. Backup integrity is verified automatically with daily test restores.

Phase 3 -- Payment Network Security: We segmented the network at each location to isolate payment processing systems from the general business network. New encrypted card reader terminals were deployed at every service counter. Access controls were implemented to restrict payment system access to authorized personnel only. We documented all the security controls so the team has a clear record of how card data is protected.

Results and Ongoing Partnership

In the six months since project completion, Precision Auto Group has experienced zero unplanned outages -- a dramatic improvement from the multiple weekly crashes they previously endured. The segmented payment network and encrypted terminals sharply reduced their exposure to card data theft.
