Unifying Multi-Site Operations for a Regional Fuel Distributor
Northeast Fuel Distributors
The Challenge
Northeast Fuel Distributors, a fuel distribution company with 60+ employees across 5 terminals in Massachusetts, operated with completely disconnected IT systems at each location. There was no centralized monitoring, each site ran its own point-of-sale and dispatch systems independently, and frequent network outages at individual terminals caused operational blind spots that impacted delivery schedules and customer service.
Our Solution
Pro Tech Guy designed and deployed a unified multi-site network with centralized management, implemented 24/7 remote monitoring and management (RMM) across all endpoints and infrastructure, migrated critical systems to cloud backup with automated failover, and standardized POS and dispatch system configurations across all five terminals.

Background
Northeast Fuel Distributors is a regional heating oil, diesel, and propane distribution company headquartered in Framingham, MA, with terminal operations in five locations across eastern Massachusetts. The company employs over 60 people including dispatchers, drivers, terminal operators, and administrative staff. Their operations run year-round but peak during the New England heating season, when system reliability becomes mission-critical.
The Challenge
Each of Northeast Fuel's five terminals had been set up independently over the years, often by different local IT contractors. The result was a patchwork of incompatible systems: different firewall brands, different POS software versions, different backup approaches (or no backups at all), and no way to see the health of any remote site without physically visiting it or waiting for someone to call with a problem.
Network outages at individual terminals were frequent, sometimes lasting hours before anyone at headquarters became aware. During peak heating season, a downed dispatch system at even one terminal could mean missed deliveries, frustrated customers, and lost revenue. The company had no centralized IT management and no proactive monitoring -- everything was reactive, and the costs were adding up.
Our Solution
Pro Tech Guy approached this engagement as a full-scale IT unification project, standardizing infrastructure and establishing centralized control across all five locations.
Network Standardization: We replaced the mismatched networking equipment at each terminal with enterprise-grade firewalls and managed switches from a single vendor platform. Site-to-site VPN tunnels were established to create a unified wide-area network, allowing headquarters to communicate securely with every terminal. Redundant internet connections were deployed at the two highest-volume sites to ensure failover capability.
Centralized Monitoring: Our 24/7 Remote Monitoring and Management (RMM) platform was deployed across every server, workstation, and network device at all five locations. Custom monitoring dashboards were built to give the operations team real-time visibility into system health, network performance, and storage capacity across the entire organization. Automated alerts ensure that Pro Tech Guy's team is notified of potential issues before they escalate.
System Standardization: POS and dispatch software was updated and standardized across all terminals to the same version and configuration. This eliminated compatibility issues when transferring data between sites and simplified training for employees who rotate between locations.
Cloud Backup and Disaster Recovery: We implemented automated cloud backup for all critical systems with defined recovery point objectives (RPOs) and recovery time objectives (RTOs). Backup integrity is verified daily through automated test restores, ensuring that data can be recovered quickly in the event of hardware failure, ransomware, or natural disaster.
Results and Ongoing Partnership
Since Pro Tech Guy unified Northeast Fuel's IT infrastructure, the company has seen a 40% reduction in system downtime. All five terminals are now connected and visible from a single management console, giving operations leaders real-time insight into the health of their entire technology footprint. Issues that once went undetected for hours are now identified and addressed proactively, often before end users are impacted. Pro Tech Guy continues to provide managed IT services, strategic planning, and technology budgeting as Northeast Fuel expands its service territory.
"We used to find out a terminal was down when drivers started calling to complain. Now we see every system across all five sites from one dashboard, and most issues get fixed before anyone even notices. Pro Tech Guy gave us visibility we never had before."
